This Privacy Policy explains how Title Clear AI, LLC ("Company", "we", "us", or "our") collects, uses, and protects your information when you use Title Clear™.
We collect information you provide when creating an account (name, email address) and documents you upload for title clearance analysis. We also collect usage data such as actions performed, IP addresses, and device information for security and audit purposes.
We use your information solely to provide the Title Clear™ service, analyzing title documents and generating clearance checklists. Document data is processed securely and is only accessible by you and authorized members of your account. We do not sell your personal information to third parties.
Title Clear™ has two distinct ways documents are handled, depending on where you upload them:
Documents you actively submit for analysis, such as title commitments, purchase and sale contracts, and payoff statements, or any document you select an "Analyze" action on, are transmitted to Anthropic's AI systems to generate your clearance checklist or draft correspondence. This includes all content within those specific files, processed in accordance with Anthropic's privacy policy at anthropic.com/privacy.
Do not submit documents containing Social Security Numbers (SSNs), Tax Identification Numbers, bank account numbers, or other sensitive personal financial information for AI analysis unless required for title clearance purposes.
Documents stored in your Company Document Portal, such as seller sheets, wire instructions, and escrow letters, are saved directly to secure storage and are never transmitted to Anthropic or any other AI service. These documents are not read, analyzed, or processed by AI in any way. Because seller sheets and similar documents often contain Social Security Numbers or other sensitive financial information, we recommend uploading them through the Document Portal rather than submitting them for AI analysis.
Title Clear™ operates as a tool for licensed title professionals. Users are responsible for ensuring their use of this service complies with all applicable privacy laws, including the Gramm-Leach-Bliley Act (GLBA), and their obligations to protect nonpublic personal information (NPI).
Your files and documents are retained as long as your account is active. You may delete your files at any time from your dashboard. Upon account deletion, all associated data is permanently removed within 30 days.

Users of this service are solely responsible for ensuring their use complies with all applicable federal and state laws, including but not limited to GLBA, FCRA, and applicable Florida statutes governing title insurance and the handling of nonpublic personal information.
We may update this Privacy Policy from time to time. We will notify you of material changes by email. Continued use of the service after changes constitutes acceptance of the new policy.
